Thank you for trusting us with your information. We look after it the way we look after a client’s numbers: carefully, and with controls.

1. Who we are

doKumentive is a Microsoft Dynamics 365 partner based at 56 Temperance St, Toronto, Ontario. We implement Business Central and Finance & Operations, rescue Dynamics 365 projects and automate finance work with AI, for companies across Canada and the U.S.

This policy covers personal information collected through dokumentive.com. It does not cover the eDoc360 platform, which has its own terms, or client data we handle during a project, which is governed by our agreement with each client.

2. Information we collect

Information you give us. When you fill in a form, book a call, subscribe to the newsletter, download a resource or email us, we collect what you provide: usually your name, work email, phone number, company, job title and message. If you apply for a job, we also receive your resume and cover letter.

Information collected automatically. When you visit the site, our website tools record technical information such as your IP address, browser and device type, the pages you view and how you arrived. Some of this is collected with cookies (see section 5).

We ask only for what we need. Please don’t send us sensitive personal information, such as health or financial account details, through the website.

3. How we use your information

  • To answer your questions, schedule calls and provide the services you ask about
  • To send the newsletter or resources you requested
  • To review job applications and contact candidates
  • To understand how the website is used, and to improve it
  • To keep the website secure and prevent spam and misuse
  • To meet our legal and accounting obligations

We do not sell your personal information, and we don’t use it for purposes you would not reasonably expect without asking you first.

4. Newsletter and email consent

We send our monthly newsletter only to people who have given express consent, as Canada’s Anti-Spam Legislation (CASL) requires. We keep a record of when and how you subscribed.

Every newsletter includes an unsubscribe link, and we process unsubscribe requests within 10 business days, as CASL requires. You can also unsubscribe by emailing info@dokumentive.com.

If you contact us about our services, we may reply and follow up on that request. We won’t add you to the newsletter unless you ask to join it.

5. Cookies and analytics

Cookies are small files a website stores in your browser. We use them for three purposes:

  • Essential: to make the site and its forms work, and to keep it secure
  • Performance: to load pages quickly, through our site speed service
  • Analytics: to count visits and see which pages are useful, using [PLACEHOLDER: analytics tool, e.g. Google Analytics through Google Site Kit]

Videos and posts embedded from YouTube or LinkedIn may set their own cookies when you play or view them. You can block or delete cookies in your browser settings; the site still works, though some features may not.

6. Who we share your information with

We share personal information only with service providers that help us run the website and our business, and only as much as they need. They are required to protect it and to use it only for the services they provide to us. They include:

  • Our website hosting provider [PLACEHOLDER: name]
  • Our website speed and caching service (NitroPack)
  • Our analytics provider [PLACEHOLDER: name]
  • Our email and newsletter service [PLACEHOLDER: name]
  • Our email and office software provider [PLACEHOLDER: e.g. Microsoft 365]

We may also disclose information if the law requires it, or as part of a sale or reorganization of our business, in which case this policy would continue to apply.

7. Where your information is stored

We are based in Canada. Some of our service providers store or process information in other countries, including the United States, where it may be subject to local laws and accessible to authorities there. [PLACEHOLDER: confirm where your hosting and email providers store data]

8. How we protect it

We use reasonable physical, technical and administrative safeguards, including encrypted connections to our website (HTTPS), access only for staff who need it, and secure, reputable service providers. No method of sending or storing information online is completely secure, so we can’t guarantee absolute security.

We keep personal information only as long as we need it for the purposes above, or as the law requires, and then delete it or make it anonymous.

9. Your rights and choices

Under Canadian privacy law, you can:

  • Ask what personal information we hold about you, and get a copy
  • Ask us to correct information that is wrong or incomplete
  • Withdraw your consent, for example by unsubscribing from the newsletter
  • Ask us to delete your information, unless we must keep it by law

Depending on where you live, including some U.S. states, you may have similar rights. To make a request, contact us using the details in section 12. We’ll reply within 30 days. If you’re not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

10. Children

Our website and services are meant for businesses and professionals. We don’t knowingly collect personal information from children.

11. Changes to this policy

We may update this policy as our services or the law change. We’ll post the new version on this page and change the “Last updated” date at the top.
